Our goal is to provide a fun, safe, and unforgettable gaming experience for every event. The following policies are designed to protect our guests, equipment, and staff while ensuring your event runs smoothly.
Please review these policies carefully before booking.
Booking Policy
To ensure a smooth and secure reservation process, please review the following guidelines:
1. Payment Methods
We accept:
- Cash
- Credit Card
- Debit Card
- Cash App
- Venmo
- Zelle
2. Deposit Requirement
A $150 deposit is required at the time of booking to reserve your event date and time.
- Deposits are non-refundable.
- The deposit will be applied toward the total cost of your event.
- Reservations are not guaranteed until the deposit has been received.
3. Full Payment Deadline
Full payment must be received no later than 10 days prior to your event.
Failure to make full payment by this deadline may result in cancellation of your reservation and forfeiture of the deposit.
4. Reservation Confirmation
Your booking remains tentative until the deposit has been received.
Once full payment is completed, you will receive confirmation containing all event details.
5. Changes to Your Reservation
Requests to change the date, time, or location must be submitted at least 14 days before the event and are subject to availability.
Additional charges may apply depending on the requested changes.
6. Cancellations and Refunds
Please refer to the Refund and Cancellation Policy below for details regarding cancellations, refunds, and rescheduling.
Refund and Cancellation Policy
We understand that plans change and will do our best to accommodate our customers.
Cancellation Within 30 Days
If an event is canceled within 30 days of the scheduled date:
- No refunds will be issued.
- We will gladly work with you to reschedule your event based on availability.
Cancellation Fee
A $25 cancellation fee applies to all canceled events once payment has been received.
Rescheduling
We encourage customers to reschedule whenever possible.
- Payments already made will be applied to the new event date.
- Rescheduled events will not incur additional penalties.
- New dates are subject to availability.
No-Show Policy
Failure to notify us of cancellation or failure to appear at the event will result in forfeiture of all payments.
Inclement Weather Exception
Events affected by severe weather will be handled according to our Inclement Weather Policy and may be rescheduled at no additional charge.
Inclement Weather Policy
The safety of our guests, staff, and equipment is our highest priority.
Our gaming trailer is climate-controlled and designed to operate comfortably in most weather conditions. However, severe weather may require rescheduling.
Severe Weather Includes:
- Heavy rain
- Snow or ice
- Lightning
- Strong winds
- Hazardous road conditions
- Other unsafe conditions
If weather creates unsafe travel or operating conditions:
- We will contact you as soon as possible.
- We will make every effort to provide advance notice.
- Events may be rescheduled at no additional charge.
Weather-related cancellations are exempt from standard cancellation fees.
Refusal of Service Policy
High Desert Game Vault reserves the right to refuse or discontinue service if conditions become unsafe.
Service may be refused for:
- Obvious intoxication.
- Illegal drug use.
- Harassment or threatening behavior.
- Violence or aggressive conduct.
- Unsafe event locations.
- Dangerous weather conditions.
- Suspicious or unlawful activity.
Whenever possible, customers will be given an opportunity to correct the situation.
If conditions remain unsafe, High Desert Game Vault reserves the right to end or cancel the event without refund.
Damage and Liability Policy
Customer Property
High Desert Game Vault and its employees are not responsible for damage resulting from placement of the gaming trailer in the location requested by the customer.
This includes:
- Driveways
- Lawns
- Sprinkler systems
- Utility lines
- Septic systems
- Fences
- Other structures
Damage to Equipment
Customers are responsible for damage or theft caused by careless or intentional actions of attendees.
Damaged or missing items will be replaced at current retail value, including:
- Televisions
- Gaming systems
- Controllers
- Accessories
- Games
Replacement charges may be billed to the card used for booking.
Injuries
High Desert Game Vault is not liable for injuries occurring on the customer’s property or designated event location.
The event host assumes responsibility for maintaining a safe environment and supervising participants.
Food and Drink Policy
To maintain a clean and enjoyable gaming environment:
The following are prohibited inside the trailer:
- Food
- Candy
- Gum
- Drinks
- Alcohol
- Smoking
- Vaping
Guests are welcome to enjoy refreshments outside the trailer.
Repeated violations may result in interruptions to gameplay or termination of the event.
Parking Policy
To ensure a smooth setup, customers must provide safe and accessible parking.
Requirements
- A level area large enough for the trailer and tow vehicle.
- Clear access for guests.
- Compliance with local parking regulations.
Unsafe or Unavailable Parking
If parking conditions are unsafe or inaccessible, customers may:
- Relocate the event to a suitable nearby location.
- Adjust event plans accordingly.
If no suitable parking can be found, the event may be canceled or rescheduled according to our cancellation policies.
Privacy Policy
Your privacy is important to us.

We collect information necessary to:
- Book and confirm reservations.
- Communicate regarding your event.
- Process payments.
- Provide customer support.
Protection of Information
